General Service Policies
Payment & Refunds: Payment is due in full upon successful completion of the appointment via credit/debit card or cash. Fees are non-refundable once service has been rendered.
Identification: All signers, applicants, and employees must present a physical form of valid, unexpired, government-issued photo ID (e.g., Driver’s License, Passport, State ID) at the time of service.
No Legal Advice: We are administrative service providers; we cannot give legal or financial advice, draft legal documents, or interpret contract terms.
Service Specific Policies
General & Estate Planning Notary
Document Readiness: Documents must be completely filled out with no missing pages or blank spaces prior to notarization. Notaries cannot complete document content on your behalf.
Signature Requirements: If your document requires a Jurat (Oath/Affirmation), do not sign prior to the appointment—it must be signed in the physical presence of the notary.
Willingness & Competency: All signers must be physically present, fully coherent, aware of the document contents, and signing voluntarily. We reserve the right to refuse service if these conditions are not met.
Third-Party Rejections: We are not liable for document rejections by third parties, receiving agencies, or institutions due to client error, formatting issues, or missing legal language in the document itself.
Loan Signings
Role Limits: As a Loan Signing Agent (LSA), our role is strictly to facilitate the signing and notarization of your loan packet. Questions regarding interest rates, closing costs, payoff amounts, or specific loan terms must be directed to your lender or escrow officer.
Fee Structure: The agreed-upon loan signing fee covers travel, printing (up to 2 document sets: 1 signing set and 1 borrower copy), execution, and courier drop-off.
Timeline Liability: We are not liable for loan funding delays, rate lock expirations, or missed closing dates caused by lender document errors, title delays, courier transit issues, or borrower cancellation.
Fingerprinting (Ink Rolled FD-258)
Card & Agency Information: Clients are responsible for providing the correct ORI number, reason fingerprinted, or requesting agency address. We do not determine which card or details your employer or licensing board requires.
Reprint Guarantee: If a card rolled by our technician is rejected by a processing agency (e.g., DPS, FBI) due to print quality or smudging, we will re-roll a new card at no additional service charge.
Exceptions: The guarantee does not cover rejections caused by client-provided incorrect ORI numbers, missing personal data, post-delivery card damage, or natural/faint skin ridge degradation due to age, medical conditions, or manual labor.
Medical Deferrals: To ensure legibility and safety, appointments for individuals with fresh cuts, open wounds, or bandaged fingers may be deferred until healed.
Agency Delays: We are not liable for background check delays, licensing denials, or processing timelines set by state or federal receiving agencies.
Form I-9 Verification
Authorized Representative Role: We act strictly as an appointed Authorized Representative to complete Section 2 on behalf of the employer. The hiring employer retains full legal liability for federal compliance, accuracy, and document retention.
Strict Physical Presence: Per federal guidelines, employees must be physically present and present original, unexpired documents from the List of Acceptable Documents (List A, or List B + List C). Photos, copies, or digital scans cannot be accepted under any circumstance.
Document Hand-Off: Completed physical forms will be handed directly to the employee or handled per prior written instructions from the employer. Portal credentials or digital upload instructions must be supplied by the employer before the appointment.
Apostille Facilitation
Facilitation Scope: Our responsibility is limited to the accurate preparation, hand-off, and submission of your documents to the appropriate state or federal authority.
Shipping & Courier Delays: Once documents are handed off to mail carriers or couriers (e.g., UPS, FedEx, USPS), tracking schedules and delivery timelines are solely the responsibility of the shipping provider.
Receiving Country Acceptance: While we submit your Apostille document to the proper government authority, we cannot guarantee acceptance by foreign governments or private foreign institutions. Please confirm all specific destination country requirements before submitting your request.

Appointment Rescheduling
We understand that schedules can change. Appointments for any of our PHX Valley Mobile Notary -Fingerprinting services can be rescheduled. We ask that you provide as much notice as possible to help us accommodate our other clients across the Valley.
Completion & No-Refund Policy
Once a scheduled service has been completed — including mobile notary, loan signing, fingerprinting, I‑9 verification, apostille, or any other service provided by PHX Valley Mobile Notary- Fingerprinting — all fees are non‑refundable. Our pricing covers the professional’s time, travel, preparation, and any materials used during your appointment.
If a document or service outcome is rejected due to an error made by PHX Valley Mobile Notary-Fingerprinting, we will return to correct the issue at no additional service fee. However, we are not responsible for rejections or delays caused by incorrect or incomplete information provided by the client, changes in third‑party requirements (such as title companies, employers, agencies, or government offices), or circumstances beyond our control.
Cancellations & No-Shows
Cancellations made less than two hours before the scheduled appointment, as well as no-shows at the designated location, may result in a travel fee. If applicable, the fee will be invoiced to the client and must be paid before any future appointment is scheduled. We strive to maintain a punctual schedule for all clients in the Phoenix area, and these terms help manage the logistical costs of our mobile response.
Payment Terms & Accepted Methods
At PHX Valley Mobile Notary & Fingerprinting, we believe in transparent financial transactions. Please note that no deposit is required during the booking process. All service payments are settled promptly at the time of your appointment.
Accepted Payment Methods: We accept all major credit/debit cards, and cash payments. Other methods of payment can be considered based on the nature of service.
Travel Fees: At PHX Valley, service fees include travel within a 15-mile radius from 85288. Travel beyond 15 miles is charged at $1.00 per additional mile. Mobile Notary services are subject to A.R.S. § 41-316(B) with a mileage charge of $0.67 per mile for miles beyond the included 15-mile radius.
After-hours: A $45 emergency and late night service fee may apply for appointments scheduled between 8:00 PM and 8:00 AM.

Can I reschedule my appointment if something comes up?
Yes, appointments can be rescheduled. We ask for as much notice as possible to better serve all our clients and adjust our travel schedules accordingly.
What is the policy for cancellations or no-shows?
Last-minute cancellations or no-shows may incur a travel fee to cover the Notary's time and resources. Please notify us promptly if you cannot make your scheduled time.
Are refunds available after a service is completed?
Refunds are generally not offered once a mobile notary, fingerprinting, or loan signing appointment has been successfully completed and the documents processed.
When is payment due for the appointment?
No deposit is required; payment is collected at the time of your appointment. We accept multiple payment methods for your convenience.
